Buckeye League Information

 


The decision of which league your team will play in is collaboration between the team’s coaching staff and the club’s DOC’s. Make sure you check with TFA’s Directors of Coaching before submitting an application to BPYSL.

The information presented below is meant to be a guide for Coaches and Team Administrators of teams participating in the BPYSL League.  Always refer to the BPYSL website, www.buckeyepremier.com, for the most up-to-date league information.  Questions regarding BPYSL can be directed to Teresa Koschmeder, our TFA club BPYSL administrator at tkoschmeder@tristatefutbolalliance.com.

Teams that applied to Buckeye for the fall season should receive notification of acceptance by July 10th.  The mandatory scheduling meeting for will take place on July 18th.

APPLICATION

Once it’s been established that your team will participate in the Buckeye Premier League, you must go to www.buckeyepremier.com.  Select the Application to League link and submit before the league’s application deadline.

Application to and participation in the BPYSL program is by invitation only to US Youth Soccer registered clubs/teams.  All US Youth Soccer member teams make application to the Buckeye Premier league with the understanding that final acceptance and placement within the divisions lies exclusively with the Buckeye Premier Board of Directors. Teams from outside of the boundaries of OSYSA require approval from the team’s National State Association and OSYSA.

  • Invitation for participation is open to any properly registered US Youth Soccer competitive club, organization or team in good standing with a member National State Association
  • All applications for participation in Buckeye Premier must be received by the deadline dates established each season.
  • A complete application package MUST include:
    • Buckeye Premier “Application for Acceptance” completed in its entirety.
    • A check in the amount of the established league entry fee made payable to Buckeye Premier.

Each team must pay a per team fee which includes the cost of registering all players and coaches with OSYSA, the cost of adding and/or transferring of players, the cost of field rentals and all league administrative costs.

For all U-9 thru U-18/19 TFA teams participating in Buckeye Premier for the first time during the current seasonal year, the club shall pay for the team’s league fees.

If a U-9 thru U-14/15 TFA team participated in an OSYSA league, including BPYSL, during the Fall season and is accepted to participate in Buckeye Premier in the Winter / Spring season of the same seasonal year, the team’s league fee shall be ½ of the normal listed fee. This fee shall be paid for by the team.
Deposit of the entry fee does not constitute acceptance.  Teams that are not accepted will receive a full refund of the entry fee with a letter of notification within 30 days of the entry deadline.

The league reserves the right to refuse admittance to any team, with or without cause that submits an application based on the rules and procedures of Buckeye Premier and the evaluations made by the Board of Directors. In addition, acceptance may be denied to any team based upon the team's prior performance in the league, i.e. repeated failure to play matches as scheduled, failure to comply with league rules, failure to pay referees, failure to pay fines assessed by the league, excessive discipline issues, etc.

 

SCHEDULING MEETING

Once your team’s been accepted in the BPYSL, a representative from your team will be required to attend a league scheduling meeting. Notice, with times and dates for each age group as well as its location, will be provided via email to each team’s coach/administrator. Failure for a representative to attend this meeting will result in your team having no games scheduled for the season.

This is a self-scheduling meeting, meaning that each of the teams in a division will work together to create a schedule of games for the upcoming season. It is advisable that before entering the scheduling meeting, you make note of any known conflicts that will occur during the season so as not to schedule games on these dates. Examples of such conflicts are:  tournament dates, coach’s non-availability and player conflicts, such as dances, field trips and SAT/ACT tests.

At the conclusion of the scheduling meeting, a tentative schedule will be created and posted for each coach’s review. This is an opportunity for each coach to address scheduling errors and request changes to their scheduled games. At the end of the review period, final schedules will be posted, of which, it is the expectation that each coach adhere to.

 

TEAM DECLARATION

Before your team can be eligible for the season’s league or tournament play, you must create your team’s roster and player cards. Your team’s roster and cards are created using the BPYSL On-Line player and coach registration system. Once all of your documentation is in order, you will need to drop your packet off at the Ohio South office in Milford Ohio for approval.

At the scheduling meeting, each team will receive a packet of documents. Included in these documents will be a paper providing a club code and club password. To declare your team in the registration system, go to www.buckeyepremier.com and click on the On-line Player and Coach Registration link.  Once there, choose the Team Declaration link. Choose the Tri-State Futbol Alliance from the pull down in the first box. Enter the club code and password that was given to you in your packet and click Continue. On the next page, click on Team Registration for the current season and on the next screen click Begin Team Registration. You will need to complete all sections that are marked with a red asterisk and submit the information you provided. It is highly recommended that you provide information for a team contact as well as the coach. Once the information is submitted, both the coach and the team contact will be emailed your team number and your team password. Do not lose this - you may need it again during the season.

 

PLAYER/COACH REGISTRATION

To register players and coaches on your team, go to www.buckeyepremier.com and click on the On-line Player and Coach Registration link.  Once there, choose the Player Registration link. On the next screen, choose the Tri-State Futbol Alliance from the pull down.  In the first box, enter your team number and password that was provided to you through the Team Declaration Process. Then submit.

The first page to appear will give you the following options: Coaching Forms, Player Forms, Team Cards and Print Blank Team Forms.

If you choose Coaching Forms, this will take you to a screen that displays the coaches that were entered during the team declaration. Check to make sure this information is correct and makes any corrections, additions or deletions at this point. You can then print these forms.

The KidSafe/Risk Management Form is to be completed, printed and signed by all coaches and turned in with the seasonal year carding materials. 

If you choose Player Forms, this will take you to a screen that will give you the following options: Assign Player To This Team, Generate Team Roster and Team Homepage.

To enter players, click Assign Players To This Team. The next screen will allow you to Add a Team Player (AD). Click on this and enter the new player’s information. Repeat this process for all of your new players. It is from this page that you can print each player’s form.

Player Cards: DO NOT PRINT PLAYER AND COACH CARDS UNTIL ALL INFORMATION CONCERNING PLAYERS AND COACHES IS ENTERED INTO THE SYSTEM. Any additions made after printing your cards and roster will result in the player ID numbers on the roster and all previously printed cards to be incorrect.
 

From the Team Homepage, click Team Cards. It is from this screen that you can print your player cards. All cards MUST be printed in color and may be printed on 8-1/2” x 11” cardstock or standard paper.
When finished registering all of your players and coaches in the system, you will have the ability to print all player and coach’s cards as well as registration forms and your team’s roster.

 

GETTING ROSTER AND CARDS APPROVED BY OHIO SOUTH

To get your team’s roster and cards approved for the season’s league and tournament play, your packet must be created and dropped off at the Ohio South office. They will not process your paperwork on the spot. You must be prepared to wait seven days for your packet to be processed.  The Ohio South office will contact you when it is completed.

If a U-9 thru U-14/15 OSYSA based team wishes to participate in Buckeye Premier during the Fall season, that team must register their team, players and coaches in Buckeye Premier prior to registering their team, players and coaches in another OSYSA league.

If a U-15 or older OSYSA based team wishes to participate in Buckeye Premier during Winter/Spring season, that team must register their team, players and coaches in Buckeye Premier prior to registering their team, players and coaches in another OSYSA league.

Failure to follow the above guidelines on team registration shall be sufficient grounds to reject the application to participate in Buckeye Premier during that seasonal year.

Players that are residents of Indiana or Kentucky must complete the Out-of-State Permission to Play form for that respective state.  This form is good for an entire seasonal year (Fall and Spring seasons).  The form must be remitted to the state along with the required payment.  The state will return an approved form and the approved form should be included with the registration paperwork.  Note that it might take a few weeks for the form to be processed by the state.

INDIANA

KENTUCKY

Kentucky Out-of-State Permission Form
Required information:
League:  Buckeye Premier Youth Soccer League (BPYSL)

Mail along with:  check for $20.00, copy of player’s birth certificate and self-addressed stamped envelope (so they can return to coach or team admin)

Documents to be included in your packet:

  • Player cards with the player’s 1 ¼ x 1 ¼ picture glued on  (cards printed through the BPYSL registration system and signed by player)
  • USYSA Membership Forms for Players (printed through the BPYSL registration system)(requires parent signature in two places)(Ohio South will keep this, must have one copy for yourself)
  • Proof of Birth (copy of birth certificate)(Ohio South will keep this)
  • Out of State Permission (only for IN or KY players)
  • Coaches Cards with the coach’s 1 ¼ x 1 ¼ picture glued on  (cards printed through the BPYSL registration system and signed by coach)
  • USYSA Membership Forms for Coaches (printed through the BPYSL registration system and signed by coach)(Ohio South will keep this, must have one copy for yourself)
  • Kidsafe/Risk Management Form (printed through the Ohio South website and signed by coach) (for coaches)(must be updated every 2 years)
  • 3 Copies of Roster (printed through the BPYSL registration system)

In addition, a Medical Release Form should be completed for each player; however, this does not need to be handed in to the league. You should keep this on hand at all games.

 

TRAPPED 8TH GRADERS

 
A trapped 8th grader is defined by all three of the following:
  1. Is an 8th grader.
  2. Is in the U15 age group for the fall season
  3. Does not have the opportunity to play on a school sponsored soccer team. (There is no 8th grade school soccer team.)
 
Trapped 8th graders will be permitted to play for the fall season with a U14 team and then will go back to their U15 team in the spring. The fall U14 team must declare itself as a U14/U15 team on the BPYSL registration website for the fall season. This will allow for the team to roster a player outside of the normal birth date requirements. 
 
After the fall season, the proper paperwork should be completed to transfer the player from the U14 team to the U15 team. Refer to the “Players that Transfer Out” and “Players that Transfer In” sections.

 

IN-SEASON CHANGES

Once your team roster has been approved you will be able to do additions, voluntary quits and transfers by clicking on the in-season changes tab.

Before you make changes…please be prepared to print your cards and team roster.  Once you log out of this system, your revisions will not be available for printing any longer.  Be sure to use the “Log Out” option located on the team Home Page to complete the revisions correctly.  Do NOT simply “X” out of your page.

Players that Voluntary Quit (VQ):  You will need to go online to in-season changes and VQ the player off your roster.  Print three copies of the roster change form.  A Voluntary Quit Form must be completed, including the reason for request to quit.  The form must be signed and dated by the player, parents and coach.  The player pass is to be returned to the office.  All of the above is to be turned in at the office for approval.  Also be sure to bring your approved roster and any other roster changes that have been approved to the office.  Voluntary Quit means the player will not be able to play competitive or recreational soccer until the next seasonal year.

Players that Transfer Out (TO):  You will need to go online to in-season changes and TO the player off your roster.  Print three copies of the Roster Change Form.  An Inter Team Transfer Form must be completed including the reason for the transfer.  The form must be signed and dated by the player.  The coach is to sign the form at the time the form is presented to him/her.  If the coach disapproves of the request, the coach is still to sign the form and may then enter a written statement on the reverse side.  The player pass is to be returned to the office with the three copies of the roster change form immediately to be approved so that this player may be transferred to the new team according to OSYSA bylaws.  Also be sure you bring your approved roster and any other roster changes that have been approved to the office.  The completed transfer form that has been signed by the coach should be given to the player’s parents to give to the new team.  Make a copy of the form to be turned in with your paperwork.

Players that Transfer In (TI):  The definition of a transfer is if the player is rostered to a competitive or recreational team during the current seasonal year.  A player shall be considered rostered to a team when the player’s parent or guardian signs the player’s USYSA Membership Form.  You will need to go online to in-season changes and TI the player onto your roster.  Print three copies of the Roster Change Form, the player Membership Form and player card.  An Inter Team Transfer Form should be provided to you by the incoming player’s parents.  You will need to provide this form along with the Roster Change Form, completed player Membership Form, proof of birth and player pass signed with picture affixed.  All of the above along with any previous roster changes and a copy of your original roster is to be turned in at the office for approval.  YOU ARE TO MAKE SURE THE PLAYER HAS BEEN TRANSFERRED OFF THEIR OLD TEAM BEFORE THE PLAYER IS APPROVED TO YOUR TEAM ON THE ROSTER CHANGE FORM.  A PLAYER MAY ONLY BE ROSTERED TO ONE TEAM.  THIS IS YOUR RESPONSIBILITY TO VERIFY IF THE PALYER IS A TRANSFER TO YOUR TEAM.

Add a coach (AC):  You will need to go online to in-season changes and AC the coach to your roster. Print three copies of the Roster Change Form.  You will need to provide the completed USYSA Membership Form for Coaches and the coach card signed by coach with picture affixed.  All of the above along with any previous roster changes and a copy of your original roster are to be turned in at the office for approval.

The KidSafe/Risk Management Form is to be completed, printed and signed by all coaches and turned in with the carding materials. 

 

REFEREE FEES
